Match Test Scores

You can use the Match Test Scores page to: 

  • Review the test scores matched when the tests were imported ( Select the Processes tile > locate Admissions > select Import Test Scores)

  • Identify and manually resolve the unmatched test scores

Matched test scores are added to the Tests list for a student and are displayed when you select All Program Versions for their program version in the header of the Student Profile. (Select the Students tile > select the name in the Students list > expand Admissions > select the Test Scores tile.)

During Import, if Anthology Student finds more than one Student Profile with same Social Security Number (SSN), then the test is added in the Tests list for those Student Profiles.

You resolve unmatched test scores by: 

  • Matching the test score with a student in Anthology Student

  • Creating a new Student Profile for a student who did not exist in Anthology Student

For example, you can use Match Test Scores page when the:

  • Student is not existing in the Anthology Student database with a SSN that matched the SSN for the test

  • When your institution configured Admissions, did not choose to automatically create a Student Profile for a test without a corresponding student in Anthology Student

If needed, you can also remove the matching test score.

You can select a date range to display the list of all the test scores imported for that range and filter a list if you want to work with a specific batch.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Admissions - Processes - Match Test Scores - Manage authorization

Your must have imported the test scores ( Select the Processes tile > locate Admissions > select Import Test Scores ).

To use Create Student button to create a Student Profile:

  • You must have Common - Student - New authorization

  • If Anthology Student is integrated with CampusNexus CRM, your institution must have selected to allow a new student entry from Anthology Student.

If the student has the same SSN as another student in the database, your institution must either:

  • Select Yes for the Allow Dup SSN’s system setting, then the record will always be created.

  • Select No Duplicate in Campus for the Allow Dup SSN’s system setting, then the record will be created if the student is not on the same campus.

Your institution must have configured the following default values for the campus group in order to create student record.

  • Campus
  • Prospect source
  • Prospect type
  • Admissions representative

For example, if the prospect source is not configured for the campus, Anthology Student does not create the Student Profile.

Access Method

Select the Processes tile > locate Admissions > select Match Test Scores.

Procedure to Identify and Resolve Unmatched Test Scores

  1. Select a Import Date From and To.

  2. Select the Apply Filters button. Anthology Student displays the list.

    Batch NameClosed Name of the batch which has the student's record.

    Date ImportedClosed The date on which the record of this student was imported in Anthology Student.

    Layout TypeClosed The layout type of the imported file.

    MessageClosed Specifies if any error occurred while importing this record or any other information.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student MatchedClosed Indicates the number of matches found for a student in Anthology Student. The values are 0 (an unmatched record) or greater than 0 (matched record, for example 1, 2, and so on).

  3. If you want to:

    • View details from the test associated with the student, select the name in the list

    • View the Student Profile, select the number greater than 0 from Student Matched value in the list

    • Match and unmatch the test scores to student, take the appropriate action in the list

    • Task Action to Take Action by Anthology Student

      Create a new Student Profile and match test score

      Select an unmatched record and select the Create Student button.

       

      Creates a new Student Profile.

      • To determine the campus, Anthology Student checks the test mapping configured by your institution for Admissions. If no campus is configured, Anthology Student uses the test campus in the general configuration for Admissions.

      • Anthology Student uses the remaining values in the general configuration for Admissions for the Student Profile (such as the prospect source and type, if available).

      • Anthology Student also: 

      • Adds the test score to their Tests list

      • Updates the Status History ( Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Status History tile.)

      • Creates an inquiry ( Select the Students tile > select the name in the Students list > expand Admissions > select the Inquiries tile.)

      • Changes the Student Matched value in the list to 1

      Match test score to student

      1. Select an unmatched record.

      2. Select the Match button. Anthology Student displays the list of students.

      3. Select a student to match, select the Select button.

      • Adds the test score to their Tests list

      • Changes the Student Matched value in the list to 1 or increments by 1 from the existing value

       

      Unmatch test score to student

      1. Select a matched record. This enables the Unmatch button and disables Create Student button.

      2. Select the Unmatch button.

      • Removes the test score from their Tests list

      • Changes the Student Matched value in the list to 0
